Winter Board Meeting – January 25, 2020

Pinehurst , NC

 

President Donald Clark called the meeting to order with the following individuals present:

President Clark updated the minutes of the summer meeting, noting that the email vote for 3A and 4A representatives was unanimous. The minutes were approved on the motion of Steve Rochkind and the second of Jon Huffman.

 

A treasurer’s report was unavailable. President Clark did note that Form 990 had been filed with the IRS. He also noted that we had taken in about $50 and had spent between $80 to $100 on our website.

 

President’s Report

President Clark thanked everyone for being present at the early hour. He informed the board that travel reimbursement was available from the NCTA.

 

In reviewing the fall season, President Clark mentioned that there were fewer stacking complaints than in the past, and this was due to our efforts and the stacking appeals committee. There was only one appeal, and the committee voted 8-1 (the 3-A coaches were not allowed to vote since they are in the same classification) to deny, which upheld the lineup as presented. Even with the decrease of stacking complaints, some areas the board wanted to address were:

  • Emphasizing the deadline for roster submission
  • Roster information posted on MaxPreps
  • Clarification of schools not fielding a team and the effect on won/loss records

The summer clinic has been going well. The number of tennis coaches has been increasing despite the decrease in overall clinic attendance.

 

Old Business

The assistant coach rule has been well-received; however, the issue of interim coaches was discussed. Andrew Tuttle moved to clarify the language on interim coaches.

“At all team competitions (dual matches) the school must have an officially certified coach or assistant coach present. A non-certified coach (interim) may serve at an individual competition but may not ‘coach’ during the actual competition.”

The motion was seconded by Pam Beecher and passed unanimously.

 

The on-line rules requirement for coaches and the placement of two additional entries in the regionals were reviewed. They have been well-received by coaches.

                               

New Business

President Clark brought up MaxPreps and UTR and their use by tennis coaches. Currently our state has an agreement with MaxPreps, but UTR can rank players. There is supposed to be a spring conference call between MaxPreps, UTR, North Carolina High School Athletic Association, and the NCHSTCA board. It was noted that MaxPreps and UTR were not “playing well together.” The conference call should help work things out. President Clark reminded that sports are being dominated by analytics, but high school tennis seemed reluctant to embrace them. He noted that UTR seems to solve more problems than it causes. Pam Beecher just wants to figure out how to make the process easier.

 

The association’s presence on social media (Twitter and Facebook)was discussed. Vice President Andrew Tuttle is to set up an Instagram account for the NCHSTCA.

 

Vice President Andrew Tuttle mentioned the shortening of the fall season and called it disappointing. President Clark plans to email Tra about the possibility of adding the week back.

 

Vic Ramsey presented an “everybody plays” playoff proposal that would include all high schools in the playoffs. This would be implemented in tennis for the coming year. The proposal was originally tabled until the summer meeting, but President Clark agreed to email the proposal to the membership and allow them to vote on the proposal.

 

Scott Hanbeck of Methodist College presented incentives for high school graduates to participate in their PTM program.

 

Executive Session

President Clark read a letter from treasurer Rom Teague. He expressed a willingness to continue but also realized the importance of having an officer present at meetings. Coach Teague was willing to abide by the decision of the board. The consensus was we might need someone who could be more involved. President Clark is going to present to the membership the possible need for a new treasurer and seek a  volunteer.

 

President Clark also asked the board to consider a new role for himself, as he would possibly step down from the presidency at the end of the school year. The recommendation of the board is for Vice President Tuttle to become president, and Coach Clark move to the Role of vice president.
